Privacy Policy
1. Who We Are, and the Two Roles We Play
MinMax Strategies LLC ("MinMax Strategies," "we," "us," or "our") is a single-member limited liability company organized under the laws of the State of Michigan and based in Grand Rapids, Michigan. We provide AI integration consulting, workflow automation, and IT consulting services, and we operate MinMax Pro, a subscription business-management platform for field service, logistics, and professional service firms.
Which parts of this policy apply to you depends on which of two roles we are in:
- We are the business responsible for the data when you visit our website, submit our contact form, sign up for MinMax Pro, administer an MinMax Pro workspace, use the MinMax client portal, or engage us for consulting. This is information about you and your business, and we decide how it is used.
- We are only the custodian for the records our MinMax Pro customers put into their own workspaces — their customers, jobs, invoices, crews, and documents. We call that Customer Data. We process it on that business's instructions, for the purpose of running the software for them. We do not mine it, sell it, or use it to train models. If you are one of their customers, read Section 11 and contact that business directly.

2. What This Policy Covers
This Privacy Policy applies to:
- Our marketing website at minmaxmi.com, including the contact form and the ROI Calculator
- MinMax Pro — the product pages, signup and enrollment flow, the application workspace, the field portal, the customer-facing booking and portal pages, and the MinMax Pro Academy training courses
- The MinMax client portal used by consulting clients for deliverables, guides, and training
- Consulting, automation, and IT engagements delivered under a signed Master Service Agreement (MSA) and Statement of Work (SOW)
Where a signed MSA, SOW, or data processing addendum says something more specific about a client's data, that signed agreement controls for that engagement.
3. Information We Collect
3.1 Information you give us — prospects and website visitors
When you submit our contact or inquiry form, we collect what you enter: first and last name, business email address, company or organization name, company size, and your description of the challenge or project. We do not require a phone number on the website form; if you send one to us by email or give it on a call, we keep it with the rest of the inquiry.
3.2 Information you give us — MinMax Pro accounts
When you sign up for MinMax Pro or are added to a workspace by your employer, we collect:
- Account information — your name, work email address, password (stored only as a salted cryptographic hash — we never see or store the password itself), role and permissions, and the workspace you belong to
- Business information — company name, industry configuration, business locations including your main office and billing address, logo and brand colors, and the modules you enable
- Billing information — company name, billing contact and email, plan selection, subscription and invoice status, and the last four digits, brand, and expiration of the card on file. Full card numbers never reach our servers. See Section 5.
- Support and account activity — sign-in timestamps, password reset requests, invitations sent, and messages you send us
- Training progress — the MinMax Pro Academy records which lessons and courses each user has completed. That progress is visible to the user and to their workspace administrators.
3.3 Customer Data — records our customers store in their workspace
MinMax Pro customers enter their own business records into their workspace. Depending on how a business uses the product, that can include their customers' and contacts' names, addresses, phone numbers and email addresses; job, appointment, route, and dispatch records; quotes, invoices, and payment status; time entries and staff records; uploaded documents and photographs; signatures captured on completed work; and messages exchanged in the workspace. Where a business enables call capture, it can also include inbound caller phone numbers, call timestamps and state changes, and — where that business turns transcription on — transcripts of those calls.
We hold this data on that business's behalf. We access it only to operate, secure, support, and repair the service, or where the law requires it. We do not sell it, share it for advertising, or use it to train artificial intelligence models.
3.4 Information collected automatically
Our servers and our infrastructure providers record standard operational data: IP address, request time and path, browser user agent, and error diagnostics. We use this to keep the service running, to enforce rate limits, and to detect abuse. We use no third-party analytics tools (such as Google Analytics), no advertising pixels, no tracking cookies, and no behavioral profiling technology on any of our sites.
3.5 Cookies and browser storage
We use browser storage only for things the service cannot function without:
- Session tokens that keep you signed in to MinMax Pro or the client portal
- ROI Calculator inputs on our marketing site, saved in your browser's localStorage so your slider values persist between visits. This never leaves your device.
- Cached map and address lookups in the MinMax Pro workspace, so the same address is not looked up twice
Because we set no advertising or analytics cookies, we do not display a cookie consent banner. You can clear any of this at any time by clearing your browser's site data — doing so will sign you out.
3.6 Information we ask you not to give us

We may send you service and administrative messages you cannot opt out of while you hold an account — password resets, billing notices, security alerts, and material changes to the service. Marketing email is separate and always carries an unsubscribe link.
We do not use your information for advertising, for sale to data brokers, or for automated decisions that produce legal or similarly significant effects about an individual without human review.
5. Payments
MinMax Pro subscriptions are billed through Stripe. When you enter card details at signup or in the billing portal, those details are transmitted from your browser directly to Stripe and are never received, processed, or stored on MinMax Strategies systems. We hold only the non-sensitive descriptors Stripe returns to us: the card brand, last four digits, expiration, the Stripe customer and subscription identifiers, and the status of your subscription and invoices.
Stripe processes this information as an independent controller under Stripe's own privacy policy. Consulting engagements are invoiced separately and are not processed through Stripe unless the SOW says otherwise.
6. Service Providers We Rely On
We keep this list short on purpose, and we publish it so you can evaluate it. These are the providers that may process personal information — including Customer Data — in the course of running our services:

We require each provider to handle information only as needed to deliver its service to us. Changing or adding a provider is a change to this policy and will be reflected here. We may also use widely adopted business tools — accounting, banking, email, and document software — in the ordinary course of running the firm.
AI tools. We use AI assistants, including Anthropic's Claude, in our own consulting and development work. We do not feed MinMax Pro Customer Data into third-party AI tools, and no AI provider is given standing access to a customer workspace. Where an engagement calls for AI processing of a client's material, that is scoped, disclosed, and agreed in the SOW first.
7. How We Share Information
We do not sell, rent, or trade personal information, and we do not share it for cross-context behavioral advertising. We share it only in these circumstances:
- Service providers — the providers listed in Section 6, for the purposes stated there
- Within your own organization — workspace administrators can see the accounts, activity, and training progress of users in their workspace, and can export the workspace's data
- At your direction — for example, when MinMax Pro emails a quote, invoice, or completed job report to a recipient you chose
- Legal obligation — where required by law, subpoena, court order, or governmental authority. Where we are legally permitted to do so, we will notify the affected customer before responding to a request for their Customer Data.
- Protection of rights — where necessary to investigate suspected fraud, abuse, or a threat to the security of the service or to any person
- Business transfer — in a merger, acquisition, or sale of substantially all business assets, information may transfer to the successor, subject to this policy
8. How Long We Keep Information

You may request earlier deletion at any time by emailing info@minmaxstrategiesllc.com. We will honor it except where we are required to retain records by law, or where the data belongs to a business customer rather than to you (see Section 11).
9. Security and Data Breach Notification
We take reasonable technical and organizational measures to protect information from unauthorized access, disclosure, or loss. These include encryption in transit (TLS) and at rest with our infrastructure providers, passwords stored only as salted hashes, tenant isolation enforced on the server so one workspace cannot read another's records, role-based access controls, short-lived signed session tokens, rate limiting on authentication endpoints, private (non-public) file storage for uploaded documents, and least-privilege access to production systems.
No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.
Breach notification — Michigan law (MCL 445.72)
In the event of a security breach involving unencrypted personal information, MinMax Strategies LLC will notify affected Michigan residents in accordance with the Michigan Identity Theft Protection Act (MCL 445.61 et seq.), and will notify residents of other states in accordance with the breach notification law of their state. Notification will be provided without unreasonable delay, and within the timeframes established by applicable law. Notification may be provided by direct contact (email or written notice) or, where permitted, by substitute or public notice.
If the breach involves Customer Data held on behalf of an MinMax Pro customer, we will notify that business without unreasonable delay after confirming the incident, provide the information reasonably available to us about what happened and what was affected, and cooperate with that business's own notification obligations. Under Michigan law, notice to the individuals in that case is generally the responsibility of the business that owns the data; we will support it.
10. Your Rights and Choices
Regardless of where you are located, you may ask us to:
- Access — provide a copy of the personal information we hold about you
- Correct — fix information that is inaccurate or incomplete
- Delete — delete your personal information, subject to legal retention requirements and to Section 11
- Export — receive your account information, or your workspace's Customer Data, in a portable format
- Opt out of marketing — unsubscribe from marketing email at any time. Our marketing email complies with the CAN-SPAM Act and carries a working unsubscribe link and our business contact information. Service and billing messages continue while you hold an account.
Email info@minmaxstrategiesllc.com to exercise any of these. We will respond within 30 days. We may need to verify your identity — usually by confirming control of the email address on the account — before acting, and we will not discriminate against you for making a request.
Residents of states with comprehensive consumer privacy statutes may have additional rights, including the right to appeal a refused request. If we deny a request, our response will tell you how to appeal it. Michigan has not enacted a comprehensive consumer privacy statute as of the effective date of this policy; the rights above are offered to everyone regardless.
We do not sell personal information and we do not share it for targeted advertising. We run no advertising trackers, so there is nothing to opt out of and no Global Privacy Control signal for us to honor beyond the fact that we collect none of that data in the first place.
11. If You Are a Customer of One of Our Customers
If a plumbing company, freight broker, charter operator, or consulting firm uses MinMax Pro to run its business, and you are one of its customers — you received a quote, booked an appointment, signed off on completed work, or logged into a portal it branded — then that business, not MinMax Strategies, decides what happens to your information. It chose what to collect, how long to keep it, and who to share it with.
Direct requests to access, correct, or delete that information to the business you did work with. If you contact us instead, we will refer you to them and, where we can identify them, pass your request along. We will act on it ourselves only on that business's instructions, or where the law requires us to act directly.
Recorded and transcribed calls. Where a business enables call capture in MinMax Pro, calls to that business may be logged, and — if it turns transcription on — transcribed. That business is responsible for providing whatever notice or consent its state's law requires. We provide the tooling; we do not make that call for them.
12. Children's Privacy
Our services are intended for businesses and their staff, and are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, contact us and we will delete it promptly.
13. Where We Operate
MinMax Strategies LLC is based in the United States, and our services are offered to businesses located in the United States. All of our systems and the providers listed in Section 6 store data in the United States, with the exception of the OpenStreetMap map and address lookups noted there.
We do not currently offer MinMax Pro to businesses established in the European Economic Area, the United Kingdom, or Switzerland, and this policy is not written to satisfy the GDPR or the UK GDPR. If you are established in one of those jurisdictions and wish to use our services, contact us first — additional contractual terms would be required before we could accept your account.
14. Links to Other Sites
Our sites and the MinMax Pro workspace may contain links to third-party websites or resources, including provider documentation and customer-supplied links. This Privacy Policy does not apply to those sites. Review their own privacy policies before providing information to them.
15. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page. For changes that materially reduce your rights or materially expand how we use personal information, we will give account holders at least 30 days' notice by email or in-product notice before the change takes effect. Continued use after a change takes effect constitutes acceptance of the updated policy.
16. Governing Law
This Privacy Policy is governed by the laws of the State of Michigan and applicable federal law. Disputes arising from this policy are subject to the jurisdiction of the state and federal courts located in Kent County, Michigan.
